Hardware and Fittings: What Contract Buyers Should Specify
Hardware is the smallest line on a furniture quotation and the largest single source of service calls. Hinges, runners, locks and pulls are the only parts of a case good that move, the only parts adjusted by hand on site, and the only parts an operator's housekeeping team touches thousands of times a year. A carcass built from properly dried timber with sound joinery can still generate complaints every week if the drawer runner was specified by price and the hinge was adjusted by nobody.
That is why the hardware section of a contract order deserves as much attention as the finish clause, and why it gets so little. Most disputes we see do not come from a component failing in isolation; they come from a specification that named a category instead of a product, or from a substitute fitted without notice. For an FF&E buyer, a distributor building a range, or a specifier closing a mock-up, the practical answer is to attach a written hardware schedule to the purchase order and to make it part of the approval, so that what was quoted is what is fitted.
Why hardware generates more service calls than the joinery
Three structural reasons. First, hardware is the interface between the piece and the operator, so it accumulates wear from people rather than from load. Second, it is installed late in production and adjusted last, which means a rush at the end of a programme lands on the fittings rather than on the frame. Third, it is the easiest thing in an order to substitute quietly, because a cup hinge is a cup hinge on a delivery note.
The cost of getting it wrong is asymmetric. A better hinge adds a small amount to a unit price. A returned door, a stuck drawer and a missing key in a hotel that is already trading costs staff time, a room out of service and a reputational dent that no supplier can refund.
Hinges: adjustment axes, door weight and the door that sags
A cup hinge is specified by how many ways it adjusts and how much weight it can carry. Three-way adjustment - side, height and depth - is the practical minimum for contract work, because it lets an installer correct a door on site without re-drilling the carcass. Doors that will be adjusted by a maintenance team months later need that range; a fixed, non-adjustable pivot looks elegant on a drawing and is unforgiving in service.
Door weight should be quoted per hinge, not per door. A tall wardrobe door weighing comfortably above what two hinges were intended for will sag at the handle end, and the usual result is a door that rubs its neighbour at the bottom while sitting perfectly at the top. Where a design calls for a tall or heavy door, we add a third hinge rather than leave the adjustment range exhausted on day one. Soft-close and clip-on release are both worth specifying in a hotel: soft-close protects the carcass from slamming, and clip-on release means a damaged door can be removed without tools during a room servicing, which is exactly when it matters.
Corner and internal units need a wider opening angle than standard hinges deliver, and that requirement is usually discovered during installation rather than at specification stage. Writing the opening angle on the schedule is a one-line fix.
Runners and drawer slides: the four numbers that matter
Drawer performance is decided by four figures that are rarely quoted together.
- Load rating per pair, not per slide, and the drawer width that rating was tested at.
- Extension type: full extension, three-quarter, or over-travel if the drawer serves a deep unit.
- Cycle basis for the rating, because a load figure without a cycle count is not a specification.
- Mounting method, since side-mount, undermount and concealed runners each have different tolerance for drawer box width, and each needs a different amount of clearance in the carcass.
Undermount runners give a cleaner sightline and keep the mechanism out of the dust line, which is why they suit guest room case goods. Side-mount runners are simpler to adjust and cheaper to replace, which suits back-of-house storage and service units where appearance is secondary. Soft-close on a guest room drawer is not a luxury; a slammed drawer in a quiet corridor at seven in the morning is a complaint.
On our assembly benches, drawer boxes are fitted and run before the drawer front goes on, and the front is aligned afterwards against the carcass line. That order matters because a runner can be perfectly set and a front still read crooked, and correcting it afterwards means moving the runner rather than the front.
Cam locks, keying schedules and the question nobody asks
A hotel order without a keying schedule is an order that will be argued about at handover. Three decisions need to be made in writing before production, not during installation.
The first is the grouping: which locks are keyed alike. The usual pattern groups the locks within one guest room, or one apartment, so a single key opens the wardrobe, the drawer unit and the safe housing. The second is the hierarchy above that grouping: a floor master, a departmental master, or a single building master, and who holds each level. The third is the spare strategy: how many spare keys per group travel with the order, and where the master keys are kept.
Two practical points follow from that. Cam lock length has to suit the actual panel thickness, so a schedule that names a lock model must also state the door thickness on the drawing. And locks should be tested for operation after finishing, because a cured film in a lock bore or a coat of sealer over a strike plate will change the feel of the mechanism and, occasionally, stop it working at all.
Pulls, handles and the fixing that fails first
The most common hardware failure is not the pull, it is the fixing behind it. A screw driven directly into a particle board or MDF face has a fraction of the holding power of a threaded insert or a through-bolt, and a pull on a drawer front is loaded every time the drawer is opened with a wrist rather than with a handle. Under a light commercial load a direct-driven screw will loosen, and once it has stripped the hole, refitting it on site is a workshop job rather than a maintenance job.
Three controls prevent most of it: specify the fixing method, not just the pull; require the manufacturer's recommended screw length and pilot size; and align every pull on a run of doors or drawers to a common datum, checked as a set rather than unit by unit. On a wall of matched bedroom units such as the Aurora Imperial bedroom suite, a handle set 2 mm off the line is far more visible than any tolerance in the carcass itself.

When a buyer has no hardware specification
Many of the programmes we quote arrive with a drawing set and no hardware schedule at all. In that case we return one rather than installing whatever is on the shelf: the fittings are listed item by item against the drawing, with the load and the fixing method stated, and the buyer can strike out anything they want to nominate differently. That document then becomes part of the approval, so a substitution during production is a conversation rather than a surprise.
Buyers who do not want to specify brands can still specify behaviour, which is often more useful. Write the load, the extension, the adjustment range and the cycle expectation, and let the factory choose the hardware that meets it. That approach keeps competition between suppliers while keeping the performance fixed, which is what a value-engineered programme actually needs.

Whoever can guarantee the specification. Most programmes are simpler and cheaper when the factory supplies, because the fitting is then tested with the carcass it is going into and the replacement part is documented for the operator. Where a buyer insists on a nominated brand, the drawing should state the model, not just the category, and the factory should confirm in writing that it is compatible with the panel thickness and the intended load.
What does a keying schedule need to contain?
Three things: which locks are alike, which are separately keyed, and who holds the master key. Hotel projects usually group by room so that one key operates the room's storage, with a floor or departmental master above it. Writing this as a schedule that travels with the order is the difference between an operator receiving labelled keys and an operator receiving a crate of locks and a guess.
How do you judge a drawer runner specification without test data?
Ask for four figures together: the load rating for a pair rather than for one slide, the extension type, the number of cycles the rating is based on, and the drawer width range the slide tolerates. A rating quoted without the cycle count it was tested over is a marketing number, not a specification, and a full-extension slide pushed to its load limit in a wide drawer will sag no matter who made it.
