Specification Writing for Hospitality Seating: A Practical Template
A seating specification has one job: to make two different suppliers produce the same piece, and to make an inspector able to determine whether they did. Schedules describe appearance. Specifications describe the product. When a hospitality project fails at handover, it is usually not because the chair looked wrong - it is because nobody wrote down the load case, the abrasion requirement, the seat height tolerance or the evidence the supplier had to provide. This article gives a working template and the drafting rules that keep it enforceable. It is a description of commercial and specification practice, not legal advice, and any performance standard, fire regulation or material restriction referenced here must be verified against the current requirements of the project's jurisdiction and the governing standard body.
What the specification has to control
Before drafting, decide what the piece must survive. Hospitality seating is specified for a usage intensity, not for a look. Four control layers matter:
- Structural performance. What load the frame and joints must withstand, and how that is tested.
- Surface performance. Upholstery abrasion, colourfastness to light and rubbing, seam strength, and the flammability regime applicable to the venue type.
- Dimensional performance. Overall footprint, seat height, seat depth, back height, pitch and tolerances, especially where units are fixed or tabled in a layout.
- Evidence performance. What documents and samples must be delivered for the specifier to accept the batch.
Write all four. A specification that covers only the first three and leaves evidence undefined gets acceptance disputes at the exact moment the venue is trying to open.
The specification template
The template below is written so that each row is independently measurable. Add rows; avoid merging them, because merged rows are the ones that get argued about.

Sixteen fields is a genuinely useful target. If a supplier quotes without commenting on half of them, that is itself information about how they work.
Drafting rules that make a specification enforceable
Use measurable language. "Suitable for hospitality use" cannot be inspected. "Frame to withstand a static load applied to the seat front edge without permanent deformation, evidenced by a test report naming the method" can. Where you reference a test method, name it and require the report.
Separate requirement from evidence. The requirement is what the product must do; the evidence is how the supplier proves it. Specifications that state only the first leave the supplier free to assert compliance.
State the measurement method for tolerances. A footprint tolerance of a few millimetres is meaningless unless the spec says whether it is measured on a flat floor, at the widest point, with or without the upholstery compressed.
Fix the colour and finish references at approval stage. Colour approval by photograph is a recurring source of rejection. Approve against a physical reference and retain a signed sample.
Write the acceptance process before the order is placed. Who inspects, when, against what, with what sampling approach, and what happens on a fail. Acceptance criteria invented after delivery are always contested.
Structural and surface performance in practice
Performance specification is where the difference between a quote and a product shows. Two practical devices help.
First, require the supplier to state the test evidence available and to name the standard version and issuing body. Standards such as those covering contract seating durability, upholstery abrasion and flammability are commonly referenced by their familiar names; their current editions, national adoptions and applicability to a specific venue class should be confirmed with the specifier's own compliance adviser, because they are revised and they differ between markets.
Second, require a maintained sample. Retain the approved fabric, the approved finish chip and, where the design is critical, an approved first-article unit. This is the reference against which a later batch is judged. Writing for refit and refurbishment, not just purchase
Most hospitality seating is bought twice: once at opening and repeatedly thereafter. A specification that ignores this makes the second purchase harder and more expensive than the first.
Include:
- Replacement parts availability and the lead time the supplier commits to.
- Disassembly and reupholstery access, including whether the upholstery is removable and whether the frame must be returned.
- Finish repairability, including the touch-up system and whether it can be applied on site.
- Consistency commitment, so that a batch bought two years later still matches the original.

Building a house specification
For a programme with many seating types, do not write every spec from scratch. Build a house specification: a base document with the structural, evidence and acceptance requirements common to everything, and a per-type annexe carrying dimensions, finish and fabric. This reduces drafting effort, keeps the performance layer consistent across the range and makes it obvious when a new type has been under-specified.
A workable structure:
- Base specification: performance, evidence, acceptance, packaging, warranty.
- Type annexe: dimensions, construction specifics, finish and fabric.
- Project annexe: quantities, delivery windows, project-specific conditions.
- Evidence pack schedule: a numbered list of documents required at handover.
Numbering the evidence pack matters more than it sounds. When a supplier can tick a numbered list, the documents arrive; when the requirement is prose, they do not.
A short pre-issue checklist for specifiers
- Does the specification define the intended environment and usage intensity?
- Are dimensions and tolerances stated with a measurement method?
- Are structural, surface and flammability requirements stated with named evidence?
- Are colour and finish references physical, approved and retained?
- Is the acceptance process written, with sampling and rejection criteria?
- Are refit and replacement provisions included?
- Is the evidence pack a numbered schedule?
- Has the version and revision been confirmed as current before issue?

What does a seating specification need that a decorative schedule does not?
The performance layer. A schedule tells a supplier what the piece should look like; a specification also tells them the structural standard, the abrasion and flammability requirements for the intended environment, the dimensional tolerances, the acceptance criteria and the evidence required at handover. Without that layer, two suppliers quoting the same drawing can deliver entirely different products.
How much dimensional tolerance should be written into the specification?
Enough to be measurable and no more. Specify tolerances on the dimensions that matter - seat height, overall footprint, back height and pitch where units are fixed in a layout - and state them as a range with a measurement method. Tolerances that cannot be measured on site cannot be enforced, and tolerances tighter than the material allows simply generate rejections.
Should performance requirements be referenced by standard or described in full?
Reference the standard by its common name and require the supplier to state the version and the certificate of conformity, then verify separately. Standards are revised, national adoptions differ, and a certificate can refer to a superseded edition. The specification should require the evidence; confirming it remains the specifier's responsibility.
